.: Setting Up a New (POP3) Account in Outlook

Some of the wizard pages, menu items or button names may vary between the many different versions of Outlook (including Outlook Express), for example, in the version of Outlook used in this tutorial you can enter all your settings in one window (see step 2), but other versions separate out the entry of these details into a number of individual windows - e.g. asks for your name first then the email address, etc.
However you have to enter these details they will work in all email applications as long as they match the format as shown in step 2. Simply substitute the example settings shown here with the custom details provided by Calders.
  1. Open Outlook and go to the Tools menu and select Accounts.
    1. If a normal Account listing opens click the Add button

    2. If an Email Accounts wizard opens select the Add a new account option and then click the Next > button.

  2. Another new window will open. The details you need to add are the same no matter which type of window you see:
    1. A smaller window with four tabs near the top that will read something like – General, Servers, Connection & Advanced. Click on each tab filling in all the details you can - generally, you won't have to fill in anything in the Connection tab. The information for the Servers tab is listed below in the Important Settings section.
    2. The next wizard window showing all the basic account settings (as in the next image below).
  3. Important Settings

    • POP3 (incoming/receiving) server: mail.yoursite.co.nz
    • SMTP (outgoing/sending) server: Use your Internet Service Provider’s (ISP) SMTP details - e.g. smtp.ihug.co.nz (Xtra, Ihug, Igrin, Clear etc are all ISPs – most have a help section on their web site that list all of this kind of information).
    • Your User/Account Name is your full email address - e.g. jimbob@yoursite.co.nz NOT just jimbob
    • Your Password will have been discussed with you by Calders staff. Enter it exactly as supplied as passwords are case sensitive.

  4. To Make Sure You Aren’t Leaving Old Messages on the Mail Server
    You can configure Outlook in two different ways (by clicking the Server tab in the four tabbed window or clicking the More Settings... button in the email wizard) to either:
    1. Erase messages from the server once it has downloaded them to your computer. This method works best when you only need to check email on one computer - e.g. your work computer. Erasing them from the server is the best and easiest way to maintain your account.
      To enable this function simply make sure that the Leave a copy of messages on the server box is NOT ticked, as in the next picture below.
    2. Leave a copy of the message on the server for a specified amount of time or until you manually delete them. This works best if you regularly need to check the account on more than one computer e.g. you have a computer at work and a laptop or also check your work email on your home computer - in this case your work computer should be set to leave messages on the server by selecting the Leave a copy of messages on the server check box and your second computer should be set to remove messages from the server after 3-7 days or whatever best suits your schedule.

      Remember, You may experience difficulties such as not being able to receive new mail if email accounts aren't maintained regularly and large amounts or sized emails accumulate.   5. Saving your new settings: in the four tabbed window click the OK button to close it. In the email wizard, click whatever button takes you to the next screen (Next >, Finish, etc.). Do the same for any other open account listing, wizard or set-up windows until you are left with your main Outlook screen. Congratulations. You're done.
